Summary |
Provides administrative support to the Estimating Department. This position requires accuracy, ability to provide quick turnaround of tasks, ability to work under pressure, and handle multiple tasks simultaneously. This position must have ability to work independently, maintain confidential information, be a team player, have the ability to interpret and apply administrative and departmental policies, regulations and rules, understand and follow complex oral and written instructions, have the ability to make decisions requiring independent judgment, and have the ability to compose correspondence independently. |

Minimum Qualifications |
- Customer service experience
- High School graduate or GED
- Two or more years experience working in an administrative environment
- Experience working in a construction environment desirable
- Experience working with multiple database applications
- Be available to travel, primarily day trips to other offices, if assistance is required

- Computer – Extensive experience with Microsoft Outlook, Word, Excel, and PowerPoint

Essential Functions |
- Act in a positive and professional manner
- Assist Managers with assigned duties
- Answer and route incoming calls and electronic communications
- Utilize CRM to enter new jobs and to maintain/update existing jobs as needed
- New Vendor setup
- COI’s & W9’s
- Prepare bid forms and obtain signatures, notarization, etc.
- Order bid bonds
- Respond to General Contractor’s invitation to bid requests with our intentions to bid
- Help with the pre-qualification process
- Prepare bid forms, get signatures, attend bid openings if necessary
- Continuously distribute updated project information and correspondence as it is received
- Organize, generate, and distribute reports, spreadsheets, and other documents as required
- Handle the minority participation solicitation needs for upcoming bids
- Monitoring Docusign
- Change Orders – Tracking in Viewpoint and getting approval from PM’s, OPS, getting signature and email back to customer and PM
- Occasionally attend bid openings, pre-bids, and other meetings to assist estimators
- Predominantly Raleigh but can help other offices virtually as well
- Attend all pipeline meetings and assist with notes, tasks, organization
- Assist with scheduling appointments/meetings and customer communication
- Track Estimating Dept PTO and send to payroll weekly
- Assist coordination with GCAM events, lunch n learns, etc.
- Any other errands or general support functions that provide an efficient and positive outcome for the office or its employees. Could include:
- Ordering lunches for meetings
- Taking notes during meetings
- Attending events with customers or vendors
- Organizing annual events like the Christmas lunch, annual estimator meeting
- Schedule follow up tasks for GCAM’s
- Update bidders list for all fitup jobs
- Email Architects for Bidder’s List and follow up with them if you don’t hear anything back initially
- Search Construct Connect
- Update Plan holders list in Salesforce
- Monitor IPS
- Monitor Construct Connect
- Use keywords to search for specific words/phrases
- Look through various territories/locales as directed
- Send new “ITBs” to Susan OR set them up in the system yourself
- Reference keyword list’
- Research/Check on permits for projects we’ve priced.

Work Environment |
This is a full-time, in-person, in-office position. Remote work can be approved on an as needed basis, but in general this will be 40 hours per week “in office” position. |
