 Summary
In this critical role, you'll be the linchpin in ensuring the accuracy and efficiency of all material orders, directly impacting our project timelines and customer satisfaction.
You'll be responsible for transforming sales proposals into precise material orders, verifying every detail from quantity and color to material type and dimensions. Your dedication to accuracy will be paramount in minimizing errors, reducing waste, and ensuring our installation crews have exactly what they need. Beyond that, you'll also lead and mentor a team performing similar duties, ensuring consistency and excellence across the board.

Minimum Qualifications
  • Proven Experience: Prior experience in order management, procurement, or a similar role requiring high attention to detail, preferably within the construction or home improvement industry.
  • Leadership Experience: Demonstrated experience leading, mentoring, or managing a small team.
  • Self-Motivated: Ability to work independently and take initiative while also being a collaborative team player.
Knowledge, Skills, and Abilities
  • Review and Verify Proposals: Thoroughly examine sales proposals from the sales team to understand project scope and material requirements. Attend start meetings to confirm scope and material.
  • Create Accurate Material Orders: Generate precise and comprehensive material orders based on site assessments, verified proposals, ensuring all specifications (e.g., quantity, color, type, dimensions) are correct.
  • Ensure Order Accuracy: Double-check all orders for discrepancies or errors before submission, collaborating with sales or project managers as needed for clarification.
  • Maintain Timeliness: Manage the order creation process to ensure materials are ordered promptly, aligning with project schedules and deadlines.
  • Clarify Specifications: Proactively communicate with sales, project management, and suppliers to resolve any ambiguities or missing information in material specifications.
  • Process Documentation: Maintain organized and detailed records of all orders, revisions, and communications.
  • Problem Resolution: Identify and address any issues related to material orders, such as backorders or incorrect shipments, and work with relevant teams to find solutions.
  • Process Improvement: Continuously look for ways to optimize the order verification and creation process to improve efficiency and accuracy.
  •  Team Leadership & Mentorship: Supervise, train, and provide ongoing guidance to a team of order verifiers, ensuring high standards of accuracy, efficiency, and collaboration.
  •  Workflow Management: Oversee the daily workflow of the order verification team, allocating tasks and managing priorities to meet deadlines.
  • Exceptional Attention to Detail: A keen eye for accuracy and a commitment to verifying every piece of information.
  • Strong Organizational Skills: Ability to manage multiple orders simultaneously, prioritize tasks, and maintain clear, accessible records.
  • Excellent Communication: Clear and concise written and verbal communication skills to interact effectively with sales teams, operations team, suppliers, and internal staff.
  • Problem-Solving Abilities: Capable of identifying issues, investigating root causes, and finding practical solutions.
  • Tech-Savvy: Proficient in using order management software, CRM systems, and standard office applications (e.g., Microsoft Office Suite).

  • Requires repetitive movement, bending or twisting, kneeling, crouching, stooping or crawling
  • Requires ability to stand, walk, lift, and carry items weighing 50 pounds regularly
Work Environment
  • Requires working in extremely bright or inadequate lighting conditions, in very hot (above 90 F degrees) or very cold (below 32 F degrees) temperatures, including exposure to sounds and noise levels that are distracting or uncomfortable.
  • Includes exposure to contaminants, hazardous material, or equipment
  • Mistakes are not easily correctable and have serious consequences, therefore, Safety procedures need to be followed
